Why is first-response time the number that matters?
Because attention decays and an enquirer is usually talking to more than one supplier. Most teams believe their response time is minutes; the audit almost always finds hours.
Step 1: Measure both numbers
The median and the 90th percentile from arrival to first human contact, by channel and by owner. The median flatters; the 90th percentile is where the complaints live.
BaselineStep 2: Acknowledge inside 60 seconds
A named person, a reference and a callback window. It does not replace the call, it holds the enquirer until the call happens.
AutomateStep 3: Route to somebody available
Territory or round robin with a fallback owner, so leave and out-of-hours stop being a silent sink.
AutomateStep 4: Escalate the unactioned
Second owner after a stated interval, manager after another, with the escalation count reported rather than hidden.

Cost per qualified lead by channel, so the spend conversation is about evidence rather than about impressions.

What the messaging rules allow
Three channels, three rule sets, and two of them carry lead times you have to start early.
- SMS. Commercial messages fall under the Telecom Commercial Communications Customer Preference Regulations, 2018, administered by the Telecom Regulatory Authority of India. The entity, the sender header and every content template are registered on the DLT platform, and unregistered messages are blocked by the operators.
- WhatsApp. Business platform message templates need approval before use, so the acknowledgement and follow-up templates are submitted in week one.
- Email. A lawful purpose and a working unsubscribe. The simplest channel, and where a bought list does the most damage to a sender reputation.
- All three. The Digital Personal Data Protection Rules, 2025, notified on 13 November 2025 by the Ministry of Electronics and Information Technology, govern the lead data itself, with the main obligations commencing on 13 May 2027.

- Speed to lead
- The elapsed time between an enquiry arriving and a first human response, measured rather than assumed.
- Deduplication
- Matching an incoming enquiry against existing records on phone, email and company name, with a merge rule deciding what survives.
- Round robin
- Distributing leads in turn across a team, skipping anyone unavailable, so no one accumulates an unworkable queue.
- Nurture sequence
- A scheduled series of messages to a lead that is real but not yet ready, so the relationship survives until the timing changes.
- DLT registration
- Registration of the entity, sender header and content templates on the telecom DLT platform, required before commercial SMS is delivered in India.
- Server-side capture
- Writing the enquiry on the server as well as in the browser, so an API failure or an ad blocker does not lose it.
- Data Protection Board of India
- The adjudicating body under the Digital Personal Data Protection Act, 2023. The Schedule to that Act sets fixed rupee ceilings rather than a share of turnover: up to ₹250 crore for failing to take reasonable security safeguards against a personal data breach, up to ₹200 crore for failing to notify the Board and the people affected, and up to ₹50 crore for a breach of any other provision. That is why consent, retention and access control are build decisions here rather than paperwork.
