CRM Automation in Nellore

Most CRMs go stale because they ask salespeople to type and give them nothing back. We build your Nellore pipeline the other way round: capture on arrival, stages with real exit criteria, and follow-up that fires by itself.

  • Leads captured and deduplicated on arrival, from every channel
  • Stages with an observable exit criterion, not a feeling
  • Follow-up inside the DLT and consent rules

01 Diagnosis

Why does a CRM turn into a graveyard?

Four reasons, none of them the software. In short, a CRM that costs a salesperson ten minutes a deal and returns nothing they can use gets filled in on the last Friday of the month, and that data cannot support a forecast.

  • 01

    It only takes

Typing goes in, a manager's report comes out. Nothing returns to the person doing the entering, so the entering stops.

    Reason 1
  • 02

    Too many stages

Eleven stages where five have a definable exit. The rest are opinions, and two people read them differently.

    Reason 2
  • 03

    Duplicates

One buyer, three records, three owners and three forecasts. Cheap to prevent on arrival, expensive at every later moment.

    Reason 3
  • 04

    Dead deals

A third of open pipeline with no activity in 30 days, still counted in the number that goes to the board.

    Reason 4

Cutting from eleven stages to five was the whole thing. For the first time the forecast and the order book pointed in the same direction.

02 Design

What makes a stage a real stage?

One observable fact that lets a deal enter it. If a stage cannot be defined that way it is a feeling with a name, and the forecast built on it inherits the vagueness.

A five stage pipeline with exit criteria that can be checked
StageExit criterion, observableWhat automation does
EnquiryA contactable person and a stated need existCaptured, deduplicated, assigned and acknowledged within minutes
QualifiedBudget, authority and timeline recordedPrompts the three fields, blocks the move if empty
ProposedA quote or proposal has been sent, with a dateGenerates the document and logs the send
NegotiatingA response to the proposal has been receivedStarts the cadence and flags silence past 7 days
Won or lostAn order or a written decline existsCreates the sales order in the ERP, or codes the loss reason

Why the loss reason matters more than the win

A coded loss reason is the only data telling you whether you lose on price, on timing, on scope or to one competitor. It costs one click and it is the field most often left optional, which is why we do not leave it optional.

03 Inputs

Where the records come from

Six channels, one record. Deduplication happens at the point of arrival, because that is the only moment it is cheap.

  1. Step 1: Website forms

A lead created with the page, campaign, ad group and timestamp attached, so marketing spend can be traced to closed revenue.

    Source
  2. Step 2: WhatsApp

Conversations attaching to the record automatically. The salesperson keeps talking where the customer already is.

    Source
  3. Step 3: Calls and email

Logged with duration and outcome, both directions, including replies that arrive after the deal changed owner.

    Source
  4. Step 4: Ads and marketplaces

Leads posted directly with the source preserved rather than flattened to "online".

    Source
  5. Step 5: Deduplicate and assign

Matched on phone, email and company name, merged by rule, then assigned by territory, product line or round robin.

    On arrival

04 Compliance

What automated follow-up is allowed to do

Three channels, three different rule sets. Getting this wrong does not produce a warning; it produces messages that are silently never delivered.

  • Email. A lawful purpose and a working unsubscribe. The easiest channel, and still the one most often abused.
  • WhatsApp. Approved message templates on the business platform. Approval is a lead time, so it is requested in week one rather than the week before launch.
  • SMS. Commercial messages are governed by the Telecom Commercial Communications Customer Preference Regulations, 2018, administered by the Telecom Regulatory Authority of India: the entity, the sender header and every content template are registered on the DLT platform, and unregistered messages are blocked by the operators rather than merely flagged.
  • All three. The Digital Personal Data Protection Rules, 2025, notified on 13 November 2025 by the Ministry of Electronics and Information Technology, apply to the contact data, with the main obligations commencing on 13 May 2027. Withdrawal has to actually stop the sequence, not just set a flag.

05 Reference

Terms used on this page

Stage exit criterion
The single observable fact permitting a deal to enter the next stage.
Deduplication
Matching an incoming record against existing ones on phone, email and company name, with a merge rule deciding what survives.
Pipeline ageing
How long each open deal has gone without activity. The fastest way to find out how much of a forecast is fiction.
Loss reason coding
A required, structured reason on every lost deal, which is the only data that tells you why you are losing.
CRM
Written CRM: the system of record for prospects, opportunities and the activity against them.
Sales order write-back
Creating the order or invoice in the ERP automatically when a deal is won, so nothing is retyped.
Data Protection Board of India
The adjudicating body under the Digital Personal Data Protection Act, 2023. The Schedule to that Act sets fixed rupee ceilings rather than a share of turnover: up to ₹250 crore for failing to take reasonable security safeguards against a personal data breach, up to ₹200 crore for failing to notify the Board and the people affected, and up to ₹50 crore for a breach of any other provision. That is why consent, retention and access control are build decisions here rather than paperwork.

06 Questions

CRM automation in Nellore: FAQs

By the number of teams sharing the pipeline, whether an existing CRM is being fixed or a new one configured, and how much follow-up is sequenced rather than manual. The city does not enter the arithmetic. A single sales team in Nellore on an existing CRM is the smallest engagement, and the pipeline audit that precedes it costs nothing. Every quote states IncorpX professional charges; software licences are paid to the vendor directly, and any government fees are billed separately at actuals.

Next step

Send your stage list and an export of the open pipeline.

You get back which stages have no definable exit, how many records resolve to how many real buyers, and what share of pipeline has not moved in 30 days.
